A simple tool for complex times
Dwight Eisenhower, former President of the United States, was known for his productivity:
“What’s important is rarely urgent and what’s urgent is rarely important.”
The 2x2 matrix that bears his name is a time management tool that helps prioritize tasks based on their importance and urgency.
The goal is to help you identify tasks that are important and urgent, and prioritize them. It also lets you spot tasks that can be delegated or deferred, so you can focus on the tasks that add the most value.
📆 When: it is best to schedule a regular meeting (e.g. weekly or bi-weekly)).
⏰ Duration: from 30min to 1h.
🎯 Objective: iscuss and categorize tasks into quadrants of the matrix, and assign priorities and deadlines accordingly.
The meeting process
To begin, each team member lists their tasks on post-it notes (5min) and posts them on the board. Once that is done, the tasks are then shared and categorized into four categories:
🟦 Important and Urgent Tasks
These are tasks that have a high importance and a high urgency, meaning they must be dealt with immediately. They may include deadlines to meet, emergency situations, etc.
⇒ Tackle these tasks first, as they have an immediate impact on your long-term goals.
đźź© Important but Not Urgent Tasks
These are tasks that have a high importance but no immediate urgency. They typically involve tasks that help you achieve your long-term goals, such as planning, training, etc.
⇒ Make time for these tasks to avoid them becoming urgent in the future.
🟧 Not Important but Urgent Tasks
These are tasks that have an immediate urgency but no long-term importance. They are typically tasks that distract you from your long-term goals, such as unimportant emails or calls.
⇒ Delegate them or postpone them if possible..
🟥 Not Important and Not Urgent Tasks
These are tasks that have neither importance nor urgency. They are usually distractions or unnecessary tasks.
⇒ Avoid them as much as possible.
In summary:
→ Manage tasks in the top right.
→ Spend more time in the top left.
→ Waste less time in the bottom half.
